Payment, Cancellation and Refund Policy
Your participation will not be confirmed until our support team has reviewed and approved your Application Form. PLEASE DO NOT BOOK ANY FLIGHTS until you receive our approval. Chaka-Runa is not responsible and will not be held accountable in any way for any flights and/or travel costs that you may incur before receiving our confirmation on your booking.
Please know that when submitting your Application Form you will be charged US$ 500 to reserve a spot in the Program you selected. Upon review of your Application Form by our support team, you will receive an email confirming your participation. In case you are not approved, you will receive a refund as stated in the ‘Refunds’ section below.
If your Application Form is approved you will receive an email with a schedule for the remaining payments. You can choose to pay the outstanding balance right away or choose to pay in two parts. If you choose to pay in two parts, a deposit of 50% of the remaining balance is required 90 days prior to the Program, and the outstanding balance is due 60 days prior to the Program. Once we receive the full payment (100%) your participation in the Program will be confirmed. All and every former Chaka-Runa Retreat or Dieta participant is entitled to a Former Participant Discount, which will be applied to the remaining balance after the US$ 500 reservation payment.
The Early Bird price will apply when paying the outstanding balance in one payment after your US$ 500 reservation deposit and 6 months prior to the Program. If you don’t complete the payment before the Early Bird expiration date, you will have to pay the regular price.
We highly recommend you purchase travel insurance to protect your investment and get a refund from your Insurance company in case of unforeseen situations and risks.
If a participant cancels:
Our Cancellation Policy states that upon cancellation, payments are not refundable. Please send an email to firstname.lastname@example.org to cancel or reschedule your participation.
Up until 60 days prior to the Program you have two options:
A- It is possible to transfer your reservation towards an alternate program happening
in the next 24 months, subject to availability.
B- You are also allowed to transfer your booking for this Program to another person,
provided the Application Form of the new applicant is approved.
Within 60 days prior to the Program: You will not be able to reschedule or transfer your reservation to an alternate program, and there will be no refunds.
If Chaka-Runa cancels a Program:
In case we don’t fill up all the available spots in a Program and we need to cancel, we will refund all participants.
In the unlikely event that Chaka-Runa must cancel a Program due to weather, natural disaster, political upheaval, or wide spread diseases, we will not be able to give a refund. In this case, all reservations will be rescheduled to an alternate Program in the future.
However, for everything stated above, Chaka-Runa is not liable and will not be held accountable for any refunds related to travel expenses (airfares, hotels, pre booking costs).
Upon receiving reservations, we always incur in pre-costs for every Program, which is why we only do refunds under special circumstances.

If Chaka-Runa cancels a Program
All refunds will incur a US$ 50 administrative fee. We do not offer refunds after the start of a Program.
Please be aware that there will be no discounts or refunds for arriving late, leaving early, flight/travel cancellations or delays, illness or wide spread diseases, accidents, emergencies, family or personal issues, etc.
When travelling abroad to participate in one of our Programs, unforeseen circumstances may arise regarding your belongings, cancellations, and most importantly your health. We wish for you to have a pleasant and safe journey from beginning to end which is why we highly recommend purchasing Travel Insurance.
